We are looking forward to an action packed day with you all. The day will be split into 3 main sections (9 & under, 10 – 12 years and 14 years & over).

Arrival time- To help minimise the number of attendees in the room at once, we have agreed with teachers in advance that attendees where possible only attend for the sections they are involved in (rather than staying for the full day to watch all ages). We recommend attending no earlier than 20-30 minutes before your section starts where possible. If you do arrive earlier for your section,  you may be asked to wait in the café area downstairs until there is a good time to enter the room.

Parking- As the venue is in the town centre, there is lots of on street parking around the venue, most of which is free on Sundays.

Food & drink policy– The venue has a bar serving hot & cold drinks all day. Hot dogs will be available and a tuck shop. Packed lunches are permitted to be brought inside the ballroom but can we kindly ask everyone to clear away any rubbish before they leave. Please don’t bring hot takeaway food or drink inside. Downstairs at the venue is a new large café area also serving drinks and this is also a good area to wait if you arrive before your section starts to help us reduce the people in the main room.

Wristbands– Please have your wristbands on and fastened securely before entering the building. Lost, damaged or forgotten wristbands will not be replaced and will have to be re-purchased on the door.  Please see our full wristband policy here
If anyone arrives to purchase extra spectator bands in Section 1 & 2, please be prepared to wait a few minutes whilst we check with your teacher that they have room in your area. If they are, and for extra spectators in Section 3, these will be available for £22 but these are only available to people attending with a dance school that is booked on to the event and not available to the general public (in line with our safeguarding policy)

Awards for solo & pairs events- Awards will be presented immediately after each final in reverse order. Once the lineup is complete, there will be a photo opportunity (one person only please per dancer at this time (plus teachers) whilst the next event make their way onto the floor. Please refrain from coming onto the floor to take any photos until the lineup is complete. if taking photos, please leave the floor at the side rather than walking through the middle of the floor.

Allocated seating- All seating will be reserved clearly with your dance school name.

Important information
A Body of Persons Approval (BOPA) has been issued for this event by the local Council. Under BOPA conditions, the priority is to ensure the safety and well-being of all event participants, with particular attention to children up to school-leaving age. This should be considered a team effort between:

* Event Staff
* Licensed Chaperones
* Dance School Teachers/Leaders
*Parents/Guardians/Responsible Adults

It would be much appreciated if all attendees could take note of the following information.

Photo/ Video Policy-
As this is a private event for event participants and their family/friends, our organisation would like to be able to permit the use of cameras to capture these special memories. We would however like to bring your attention to the following: If you are intending to upload photos/videos of your participant to social media, it is recommended that you consider your privacy settings so that you limit your audience to close friends & family. Our team may also take videos and photos to use on OTB social media pages. If anyone does have any concerns/objections to this or would like us to make adjustments for any particular event, please speak to your dance school lead who will communicate this with our events team.

Child Supervision & Sign in/ Sign Out Procedure-Participants up to school-leaving age are supervised by a responsible adult at all times. Participants of this age will not be permitted to pass our door/security team without a responsible adult accompanying them. On arrival and departure, event participants are asked to inform their teacher/group lead so that they can record attendance times at the event.

The Designated Safeguarding Lead for OTB is Jackie Sanderson, she will be in attendance for the duration of the event and will be based on the stage. Alternatively, you can email info@allnations.dance

Emergency Evacuation Procedure- Please note that we are not expecting a fire drill during the event. In the case of a fire alarm sounding, please evacuate the building immediately. Usually the assembly point for the venue is directly outside the front doors however whilst there are changes to the market next door, the assembly point will be round to the left side of the building (as looking at the front doors). If you are a responsible adult accompanying an event participant, if safe to do so, please try to locate your dance school lead person at the assembly point to let them know that you have safely evacuated the building.

Dancers getting changed- Dancers are strictly not permitted to get changed inside the ballroom or on the corridors unless they are wearing a base layer (leotard/ shorts/ crop top). If anyone needs to change during their time with us there is a female changing room available on the middle of the stairs and a male changing room closer to the foyer downstairs. Dancers who are school age or younger need to be accompanied by their adult or a chaperone whilst changing.

First Aid- Should you need a first aider during your time with us, please see any of our staff who will direct you.
