A Body of Persons Approval (BOPA) has been issued for this event by the local Council. Under BOPA conditions, the priority is to ensure the safety and well-being of all event participants, with particular attention to children up to school-leaving age. This should be considered a team effort between:
* Event Organisers
* Event Staff
* Licensed Chaperones
* Dance School Teachers/Leaders
* Parents/Guardians/Responsible Adults

It would be much appreciated if all attendees could take note of the following information.

Photo/ Video Policy-
As this is a private event for event participants and their family/friends, our organisation would like to be able to permit the use of cameras to capture these special memories. We would however like to bring your attention to the following:

Solos & Duos- If you are intending to upload photos/videos of your participant to social media, it is recommended that you consider your privacy settings so that you limit your audience to close friends & family. Our team may also take videos and photos to use on AN social media pages. If anyone does have any concerns/objections to this or would like us to make adjustments for any particular event, please speak to your dance school lead who will communicate this with our events team.

Child Supervision & Sign in/ Sign Out Procedure-Participants up to school-leaving age are supervised by a responsible adult at all times. Participants of this age will not be permitted to pass our door/security team without a responsible adult accompanying them. On arrival and departure, event participants are asked to inform their teacher/group lead so that they can record attendance times at the event.

The Designated Safeguarding Lead for AN is Jessica Porter, who will be in attendance for the duration of the event and will be based on the stage.

Emergency Evacuation Procedure

Assembly Point

If exiting directly through the front of the building, assemble immediately outside.

If exiting through the side fire escapes, assemble at the car park located at the front of the building.

Alarm Sound

When the alarm sounders activate, everyone must evacuate the building promptly unless explicitly instructed otherwise.

Please follow any additional instructions provided by fire marshals or emergency personnel.

Do not attempt to re-enter the venue unless instructed by the on-site staff or the attending fire officers. No access will be permitted until the Duty Manager or the attending officers give full site safety clearance.

If you are a responsible adult accompanying an event participant and it is safe to do so, please try to locate your dance school lead person at the assembly point to let them know that you have safely evacuated the building.

Directions & Car Parking

Parking: The venue does have a large onsite car park.

  • On weekends, there is a free 3-hour parking period however a ticket must still be displayed from the machine.
  • Tickets must be displayed at all times.
  • After the free 3-hour period, a valid ticket must be purchased and displayed.
  • The parking machine accepts both cash and card payments

Changing Facilities

Dancers are strictly not permitted to change in the ballroom or the corridors unless they are wearing a base layer (leotard, shorts, or crop top). If anyone needs to change during their time with us, both male and female changing rooms will be clearly signposted in the Ballroom. Dancers of school age or younger must be accompanied by an adult or a chaperone while changing. Please ask a member of the OTB team if you are unsure where these are located.

Changing facilities are available and signposted at the back of the hall. For safeguarding reasons, participants up to school-leaving age must be accompanied by a responsible adult into the changing area. It is strictly prohibited to take photos or videos in this area. Changing in public areas is not permitted at our events and our staff will monitor this throughout the day.

First Aid

Should anyone require medical assistance at any time during their visit, please alert any of our staff or venue staff. There will be multiple first aiders available throughout the event.

Food & Drink Policy

The venue allows people to bring their own packed lunches inside. Hot takeaway food is not permitted to be brought inside unless it has been purchased inside the venue. There will not be any hot food available to buy at this event however there will a bar serving hot and cold drinks and snacks.

 

Please have your wristbands on and fastened securely before entering the building. Lost, damaged or forgotten wristbands will not be replaced and will have to be re-purchased in line with our wristband policy.
Please note that bands are only available to people attending with a dance school and are not on sale to the general public.
Payments by cash & card are accepted.

Wristbands purchased on the door are £26

Allocated Seating- All seating will be reserved clearly with your dance school name.
